Director of Accounting and Administration
General Purpose/Description:
The Director of Accounting and Administration manages the fiscal and administrative functions of a complex not-for-profit organization. This is a demanding position, which exercises responsibility for the development, management and supervision of financial management and office administration. The position has primary responsibility for the following duties:
Office Administration:
- Establish and maintain system for issuing bills and invoices (including under leases and venue rentals).
- Establish and maintain central filing system
- Manage telephone system needs, including equipment, problem solving, and improvements.
Board Support:
- Preparation and distribution of materials and agendas for Board meetings.
- Provide support and liaison services for Board members upon request.
Accounting:
- Reconciles bank statements for all checking and savings accounts.
- Configures and pays all monthly state, city sales taxes.
- Configures and tracks payroll timesheets, payroll worksheet, and distributes checks to employees.
- Balances monthly receipt ledgers.
- Balances all ticket sales with box office computer systems and writes up receipts and checks. ·Deposits and records donations and membership receipts.
- Maintains donor database and tracks acknowledgements.
- Responsible for all accounts payable.
- Assist auditors in annual audit.
- Assist Executive Director and other staff in tracking and special reports of financial income and expenses.
- Entry of General ledger items (i.e. Accruals).
- Prepare special financial reports including cash flow forecasts for monthly board meetings.
- Prepare monthly bank balances and membership information for board reporting.
- Assists in the preparation of the annual budget.
- Prepare financial analyses as requested by the Executive Director.
- Prepare required financial reports to funders, government agencies and foundations.
- Responsible for integrity of internal controls.
- Any other duties as assigned by Executive Director.
Human Resources:
- Researches and acquires group health insurance and other medical benefits.
- Establish and maintain employee benefits, insurance, and retirement plans.
- Maintains personnel information of employees, including payroll tax forms, employee information forms, etc.
Other Duties:
- Oversees insurance
- Additional duties and Responsibilities may be added at the discretion of the Executive Director.
- Knowledge of standard office practices and procedures
- 4 years comparable experience and at least 2 years in comparable office management position.
- Demonstrated knowledge and experience in establishing, maintaining and resolving problems with office equipment including computer network, automated phone systems, copiers, fax machines.
- Possession of strong service, support and detail orientation.
- Demonstrated proficiency with current versions of computer software and applications, including the following: QuickBooks, Microsoft Word, Excel, Access, Outlook, PowerPoint.
- Ability to organize, prioritize and establish administrative procedures and policies.
- Ability to work successfully in a complex and demanding office environment.
- Ability to work independently and as a key member of a team.
- Accounting degree and prior non-profit experience preferred.
Compensation: $31,000.00 annual starting salary and Dairy Center for the Arts benefit package.
